What this notice covers
It covers the online registration of a print or a philatelic cancellation for an open call of the Premio Acqui. It also covers the code, the PDF, the messages about that application, and the copy sent to the association's works archive when a print is closed.
The rules of participation, the editions and the organisation are on acquiprint.it. If a promotional text and this notice disagree about personal data, this notice prevails. If they disagree about how to take part, the call regulation prevails.
Data we collect
You provide the data when you fill in the form.
- Identity: first name, surname, place and country of birth, date of birth, and gender if you choose to give it.
- Contact: address, city, country, postcode, phone, mobile, email, and website if you give one.
- The work: title, image, and, for a print, biography, curriculum, technique, matrix size, number of matrices, year and notes. For a cancellation, the high-resolution PDF of the mark.
- The record of the application: language, the code, the time of saving, closing, withdrawal or deletion, the fact that you read this notice, the PDF copies, and the office log of later actions.
Do not write health, political, religious or similar information in the biography or the notes. Those details are not asked for. If you write them, they are stored only because you included them.
Office accounts (name of the staff user and role) are a separate record, used only to run the secretariat. They are not part of your application.
Why, and on which legal basis
- To register the application, send you the code and the PDF, let you check and correct it until the deadline, and tell you when a correction is required. Basis: Article 6(1)(b), steps you asked for in order to take part.
- To examine the work, keep it in the edition, and, when the call rules say so, acquire it for the collection of the prize. The association's site states that works received for the prize are inventoried for the collection. Basis: Article 6(1)(b), because this is part of taking part.
- To publish, for an admitted or selected work, the name, the country, the title, the technique and the image in the catalogue, the exhibition and on acquiprint.it. Address, phone, email and date of birth are not published there. Basis: Article 6(1)(b) for the catalogue of the edition, and Article 6(1)(f) for later cultural promotion of the prize. You can object to promotion that goes beyond the catalogue of your edition.
- To keep an audit trail, backups and the security of the service. Basis: Article 6(1)(f) and Article 32, and Article 6(1)(c) where the law requires a record to be kept.
The tick box records that you have read this notice before the first save. It is required because the office does not open an application without that acknowledgement. It is not a consent you can withdraw while staying in the call. If you do not want this processing, do not send the form. Data are not used for advertising that is unrelated to the prize, and they are not sold.
What is required
The form marks the fields without which the application cannot be registered. For a print those include identity, contact, title, image, matrix size, number of matrices and year. For a cancellation they include identity, contact, title, image and the high-resolution PDF. Gender, website, biography, curriculum and notes are optional. Without the required data the office cannot accept the application.
Who receives the data
- The secretariat of the association, within the limit of each person's role.
- The mail server configured for the call, which delivers the code, the PDF and any correction note to you and, at closure, to the secretariat address of that call.
- When a print is closed and the call has an archive edition, the application is sent to the works archive of the same association. A cancellation is not sent. The public status of that archive does not republish your address, phone or email.
- Aruba S.p.A., Via San Clemente 53, 24036 Ponte San Pietro (BG), Italy, as hosting provider. For these data Aruba acts on the association's instructions. Aruba states that its hosting and mail services run in its data centres in Italy and that it does not use the customer's content for its own purposes. See Aruba's notice on European data protection.
- Authorities and advisers, only when the law requires it or a dispute makes it necessary.
The database is not transferred outside the European Union. A message sent to your own email provider reaches that provider because you asked to receive it.
Where the data are kept, and how they are protected
The registration database and the files are stored on Aruba servers in Italy. The database is stored encrypted. Mail passwords and the archive signing secret are encrypted again by this application, with a separate key. The connection between your browser and this service uses HTTPS.
Encryption protects the stored database and the technical secrets. It does not hide your application from the secretariat, and it does not remove your right of access. Opening an application from outside the office requires the code sent to you. The office area requires a staff account and a role. Keep the code private: anyone who has it can open the application while editing is still allowed.
How long the data are kept
Contact details are kept for the management of the edition and for ten years after the call closes, which is the ordinary period connected with possible disputes. Name, surname, title, technique, image and the data of the work stay in the historical archive of the prize and of the collection, because participation includes that archive as described on acquiprint.it.
Withdrawal leaves the application visible and marked as withdrawn. Deletion hides it from the working lists. An administrator can restore a hidden application. A request for erasure is examined against the archive of the work and against any legal duty to keep the record. Nightly backup copies are kept for recovery. They are not a second working archive.
Your rights
You can ask for access, rectification, erasure, restriction, a portable copy of the data you provided, and, where the basis is legitimate interest, you can object. While the call is open and the application is not locked, you can correct the form yourself with the code. The office may ask for the code or another reasonable proof before it acts on a request.
Write to info@acquiprint.it or to the address published on acquiprint.it. You can also lodge a complaint with the Garante per la protezione dei dati personali, Piazza Venezia 11, 00187 Rome, garanteprivacy.it.
Cookies and automated decisions
This public service does not use analytics or marketing cookies. The language is in the address. A technical cookie may be used for the office login and to protect forms from cross-site requests. Those cookies are exempt from consent under the Italian rules on technical cookies.
There is no automated decision and no profiling. Selection is made by the jury.
Children
The service is not directed at children. If a participant is under 18, the application should be completed with the person who has parental responsibility.
Changes
A change to this notice is published on this page, with a new date. The call you already sent stays governed by the notice in force when you saved it, unless the new text is more protective or the law requires otherwise.
